Overview:
We are looking for an "Invoicing and Inventory Management Associate" to manage IT invoices and IT hardware inventory for the firm’s Systems department. The associate is responsible for performing and overseeing day-to-day invoicing operations duties as well as managing various inventory related tasks, which include, monitoring of inventory levels, make projections and recommendations on the purchase requirements, coordinate with Purchasing and Finance department for sharing information required to raise POs, create regular inventory reports, and share trends on the utilization of IT assets, check bulk orders for accuracy, coordinate with vendor for replacements and service related queries etc. The candidate should also exhibit experience in processing invoices and have sound knowledge of accounting practices and should have the ability to review invoices and verify tax information, should be able to coordinate with the vendors, check and rectify discrepancies before approving/rejecting invoices. The candidate should also be able to set and track payment reminders and should be able to undertake a thorough check of pending invoices before processing the payments. The candidate should have Strong computer skills including Microsoft Excel, good math and accounting skills, excellent organizational and time-management skills and prior experience in Inventory management and invoice processing or related field. What you’ll do day to day
- Oversee and monitor inventory levels, including issuing and tracking IT hardware.
- Make projections and recommendations for purchase requirements based on inventory levels.
- Create and share regular inventory reports and analyze IT asset utilization trends.
- Verify the accuracy of bulk orders and coordinate with vendors for replacements and service queries.
- Anticipate IT supply needs, place and expedite orders, and serve as the primary contact for IT vendors.
- Resolve complex billing issues and escalations, and ensure timely processing of contract amendments and billing credits.
- Prepare monthly, quarterly, and yearly expense reports, maintain an updated vendor database, and coordinate with vendors on pending invoices and payment processing.
- Collaborate with the Purchasing and Finance departments to share necessary information for raising POs and processing related invoices.
- Identify process inefficiencies and recommend remediation steps, and suggest improvements by working with cross-functional teams.
